Summary Description:
The Columbia University Rare Book and Manuscript Library is searching for an archivist to process the papers of Meyer M. Schapiro (1904-1996), the esteemed Columbia professor who personified art history at Columbia for more than five decades; a man whose expertise ranged from Romanesque sculpture to contemporary art, and is credited with redefining both the demands and the ambitions of the discipline. This position will be funded for a period of 19 months from the date of hire with the possibility of extension. Reporting to the Curator of Manuscripts and University Archivist, the Project Archivist will be responsible for the oversight of arrangement and description and appropriate archival housing; identifies and refers items as necessary for conservation treatment; prepare and edit a finding aid and other descriptive access tools; participates in implementation of EAD for encoded finding aids. The project archivist coordinates the activities of work-study students that are assigned to assist with arrangement and description of manuscript and archival collections; assigns tasks and monitors pace and direction of work; maintains schedule and meets deadlines. Submits regular reports on manuscript and archival processing; supports and participates in reference and public service.

Minimum Degree Required: MLS or PhD or equivalent

Minimum Qualifications:
All applicants MUST meet these minimum qualifications to be considered for the position.
=M.L.S. from an ALA-accredited library school or Graduate degree in history or related discipline
=One to two years experience arranging and describing archival collections in a historical or academic repository (or the equivalent combination of education and experience);
=Familiarity with DACS, APPM, EAD, MARC, LCSH, AACR2, and other LC cataloging standards;
=Familiarity with automated library information management systems, such as Endeavor/Voyager and online union catalogs such as RLIN or OCLC;
=Knowledge of basic preservation and conservation standards for archival and manuscript collections;
=Familiarity with the application of Greene and Meissner processing techniques;
=A demonstrated ability to communicate effectively, both orally and in writing;
=Excellent organizational skills, accuracy, and attention to detail;
=Ability to work independently and collaboratively in a production-oriented, team environment;
=Ability to work quickly, efficiently, and meet project goals and deadlines

The Project Archivist will work as part of a grant-funded project team processing the Hedrich Blessing Photography Collection (1970-1979) November 1, 2008-August 31, 2010. Responsibilities include creating, editing, and enhancing catalog data describing job files and topical series (including assigning index terms from LCTGM, LCNA, and AAT); developing a comprehensive descriptive inventory; and rehousing photographic media. This is a temporary, entry-level position that provides a unique opportunity to preserve and make accessible the work of one of the world’s premier architectural photography firms.

SUMMARY: Reporting to the Cataloging Projects Manager, the Cataloging Projects Librarian is a member of the Cataloging Section in the department of Collection Services. Working with the Cataloging Projects Manager and the Principal Cataloging Librarian, the position performs original and copy cataloging in support of funded cataloging projects. Currently this includes the Roger S. Baskes Collection of atlases and books with maps; the McCormick Theological Seminary Collection; work related to the recently completed Retrospective Conversion Project; and several smaller funded projects. Successful performance of the duties of this position requires a high degree of skill, attention to detail, good judgment, and flexibility.

The Newberry Library’s Strategic Plan in 2008 has identified as a high priority the need to increase cataloging output and reduce the backlog of unprocessed materials. This position will join the effort of all of Collection Services staff to achieve these goals.

RESPONSIBILITIES:

  • Performs original and copy cataloging in a variety of formats, subjects, and languages, from all periods.
  • Creates and edits records in OCLC WorldCat and the Library’s online catalog, Ex Libris Voyager.
  • Applies current cataloging and description resources to meet national standards, consortium requirements, and local specifications for managing print and digital collections.
  • Formats may include, but are not limited to: monographs, serials, graphics, sound and video recordings, computer files, online resources, scores, microforms, manuscripts (individual and collections), and digital materials. A special emphasis is placed on cartographic materials.
  • May participate in directing the work of copy catalogers.

Participates in the Department’s goals to process uncataloged materials.

  • Joins other cataloging staff in efforts to provide improved bibliographic control, access, and management to unprocessed, partially processed, and inadequately cataloged materials in any format.
  • Works with the Principal Cataloging Librarian and Cataloging Projects Manager to determine appropriate level of cataloging (full, minimal or collection-level) for such materials.

Participates in cataloging maintenance activities

  • Participates in the Cataloging Management Group
  • Under the direction of the Principal Cataloging Librarian helps resolve, as needed, problems with authority, bibliographic, holdings, and item records in the online catalog.

Follows the policies, procedures, and workflow of the department.

  • Pays close attention to quality and quantity of cataloging output.
  • Effectively manages time.
  • Provides input for improving departmental activities.

Participates in staff development activities

  • Keeps abreast of current trends and developments in professional librarianship and cataloging through professional reading, participation in online forums, workshops.
  • May participate in divisional and institution-wide activities.
  • Performs all other tasks or activities needed for the achievement of departmental goals.

QUALIFICATIONS:

  • ALA-accredited master’s degree in library or information science.
  • At least 2 years current full time professional cataloging experience with a variety of formats in an academic or research library using OCLC WorldCat and a local library system (Ex Libris Voyager preferred). Experience with cataloging special collections materials preferred.
  • Experience applying current cataloging standards, practices and tools, such as AACR2r, LC classification, LC subject headings, and MARC21 formats for bibliographic, holdings and authority data.
  • Experience using tools and resources for describing and providing access to special formats and materials, such as DCRM(B), Graphic Materials, Cartographic Material: A manual, Dublin Core, RBMS thesauri, AAT, TGM, and others.
  • Working knowledge and understanding of the use of bibliographic reference tools appropriate to special materials (such as descriptive bibliographies, foreign language dictionaries, etc.)
  • Proficiency in one European language, Latin and/or German preferred, with bibliographic knowledge of other languages.
  • BA degree in the humanities or graduate level humanities courses (preferred).
  • Knowledge of the issues confronting libraries from the growth of the Web and expectations of Web users.
  • Knowledge of current trends and developments in professional librarianship and cataloging.
  • Demonstrated capability and proficiency with personal computers and software relevant to library, technical services and cataloging activities.
  • Excellent communication and interpersonal skills.
  • Excellent organizational, time management, and project management skills.
  • Ability to work effectively with others or independently.
  • Responsive to changing needs and priorities.

SCHEDULE: Full time, 35 hours/week, Monday through Friday; exempt status. These are 2-year term positions with the possibility of renewal.

SALARY: Commensurate with qualifications and experience.
