This project is a top priority for the Museum’s Archives due to the collection’s great research potential and the desire of the curatorial staff to access the materials quickly to enhance the understanding of the Museum’s new acquisitions. Processing these archives entails appraising and organizing the collections, which includes correspondence, unique items created by artists, financial records, and photographs, among other materials. Descriptive information will then be assembled to create an electronic finding aid. This is a grant funded position that is expected to last for 12 months.
Specific responsibilities, following professional archival standards, are as follows:
· Surveys the collection. Conducts preliminary research on the materials. Drafts a processing plan, in conjunction with Museum Archives staff.
· Determines and acquires necessary archival supplies. Performs simple preservation tasks. Implements necessary conservation measures.
· Compiles and revises existing descriptions of the material.
· Re-files and re-boxes the collection in acid-free housing.
· Writes and codes detailed finding aid including information on context and related collections as well as description of the material.
· Assists with reference activities of the Department.
· Item-level cataloguing of photographic images, and coordinating their digitization and the creation of analogue print copies.
We require an archivist with solid experience, who can work independently. The archivist must possess a Bachelor’s degree in Art History or 12 semester hours of modern art since 1880, a Master’s degree in Art History with a Certificate in Archival Studies or National Archives Modern Archives Institute Certification strongly preferred. 1-3 years’ experience processing archival collections according to standard archival procedures and research in art history is also required. Reading knowledge of French required. Strong verbal and writing skills. Computer literacy and knowledge of Encoded Archival Description (EAD). Demonstrated knowledge of twentieth-century art, art historical reference sources and other related research materials is also required.

The Library: Verman Kimbrough Memorial Library is located on the central plaza of the campus and has a staff of 4 librarians, 9 support staff and 12 student assistants. Librarians are members of the faculty. It houses over 67,000 books, periodicals, and media items and substantial digital collections in online databases. The Position: Ringling College seeks a creative, collaborative, learner-centered professional librarian. The librarian partners with academic departments and collaborates with other faculty librarians in the development and delivery of research instruction to meet student competencies and information literacies; assists with copyright education and consultations as assigned or directed; participates in digital resources acquisition, management, development and use; provides reference service and library staff training in reference resources; assists faculty in collection development activities; envisions, develops, and executes digital projects and uses new technologies to facilitate instruction, learning and research; and, actively participates in faculty governance, institutional service, and professional development. This is a newly-funded, second Instruction and Research Services Librarian position for the Library. The ideal candidate will understand the needs of art and design practitioners, be able to effectively connect with students, work directly with faculty in an exciting, evolving curriculum, have experience selecting and managing digital resources such as online databases and ebooks, and use a variety of social media platforms and emerging software applications to deliver library services and content.
Required Qualifications for the Position:
- Masters degree in Library/Information Science from an ALA accredited institution.
- Bachelor or master’s degree in design, studio, art history, or media arts disciplines as offered at Ringling College.
- Two years recent post-MLS professional librarian work experience.
- One year successful work experience teaching college-age adults in a college, university, museum, or cultural institution.
- Experience with newer, emerging technologies.
- Ability to work well both independently and as part of a team.
- Ability to collaborate effectively with faculty and staff colleagues.
- Ability to plan, implement and assess work responsibilities.

Additional responsibilities include implementation of appropriate and forward-looking image metadata schemes, digital access, and participation in collection development and management. Works closely with the Bibliographer in the Aga Khan Program for Islamic Architecture and the Photographic Resources Librarian in the Fine Arts Library and the faculty and staff of the Aga Khan Program.
Typical Duties and Responsibilities:
Collection Management, Development, and Access
- Identifies, evaluates , and acquires images, digital resources, historic photographs, and other visual materials for the library’s teaching and research collection
- Assesses and selects historic photographs and other visual materials in the Fine Arts Library’s collection for digitization and preservation (in consultation with the AKPIA Bibliographer and FAL Photographic Resources Librarian)
- Works with AKPIA and other faculty members, students, fellows, and visiting scholars to set collection priorities based on research and curricular needs
- Coordinates and prioritizes production of different digital products (scanning, uploading, cataloging); tracks workflows and timely service to users
- Provides intellectual control for Islamic visual materials in OLIVIA, ARTstor Shared Shelf project, and other catalogues including collaboration to establish best practices and authority control
- Participates in planning and implementing projects involving visual materials
- Develops long-range planning for Islamic visual images collection in consultation with AKPIA faculty and staff
Reference and Instructional Support
- Provides research services for visual materials in Islamic art and architectural history for faculty, students, and researchers
- Selects and provides teaching images in appropriate formats and other visual resources for classroom lectures and course websites
- Provides individual and group research support including in-class workshops and personalized instruction
- Assists faculty and students in integrating GIS, Prezi , and other visual tools in lectures, course websites
- Prepares online research guides, reference tools, and finding aids for Islamic visual materials
- Assists with image research and provides images, as needed, for Muqarnas and other Harvard and MIT AKPIA publications
Collaboration and Outreach
- Collaborates with diverse Harvard colleagues including the Loeb Design Library, NELC, CMES, and Prince Alwaleed Bin Talal Islamic Studies Program
- Collaborates with AKPIA Documentation Center at MIT, Archnet, and other external initiatives on the creation and sharing of metadata, content, and services for users of visual materials on Islamic art and architecture such as SAHARA
- Works with other Harvard groups supporting interdisciplinary and digital scholarship such as academic departments and programs, DASH, CGA, and the Library Lab Initiative to develop content and research/teaching opportunities
Supervisory Responsibilities
- Supervises year-round student employees and temporary/project staff (as needed) in the creation of item level and collection-level cataloging and indexing for Islamic visual materials in all formats
- Working together with other stakeholders, develops special projects for access to and dissemination of Islamic visual culture
Basic Qualifications:
- Master’s degree in library and/or information science or equivalent experience
- Advanced degree at the master’s level or higher in the history of art and architecture related to the study of the Islamic world, or the equivalent combination of education, experience and/or background etc.
- 3-5 years related professional library experience required
- Knowledge of at least one Middle Eastern language (Arabic, Persian, Turkish)
- Expertise in image metadata standards and online data creation and access
- Computer skills including databases and digital image file management, required
- Excellent interpersonal, communication, and organizational skills required
Additional Qualifications:
- Working knowledge of western European languages, especially French and German
- Knowledge of the contemporary field of Islamic art and architecture historical study and its constituents

The Tenement Museum seeks a Collections Manager & Registrar, who will be responsible for the day-to-day oversight and preservation of the Museum’s Collections, which include its historic structures and archive. QUALIFICATIONS
Candidates should hold a Masters Degree in Library Science, History, Anthropology, Historic Preservation or related field and have at least 2 years experience. Job Summary: Works as a professional-level archivist on a grant project to coordinate further implementation of the EAD (Encoded Archival Description) format for electronic finding aids and legacy data conversion across 10 Smithsonian archival units participating in this project. This project follows an EAD Gap Analysis Study completed in 2011 and will address archival descriptive deficiencies identified for individual units. The goal of this project is to increase online access to the Smithsonian’s archival resources by implementing EAD consistently across participating units.
The position requires demonstrated professional-level knowledge of national standards and best practices for electronic archival description and cataloging, specifically the national EAD (Encoded Archival Description) and DACS (Describing Archives: A Content Standard) archival descriptive format and standards. The position reports to the Collections Processing Unit, Archives of American Art in Washington, D.C. which is the lead unit on the project, but will work closely with all participating Smithsonian archival units and the Smithsonian’s Libraries and Archives Support Branch of the Office of the Chief Information Officer.

2. Following national standards and best practices for archival descriptions, process and arrange manuscript and archival holdings, work with Archivists’ Toolkit to generate encoded finding aids, and prepare MARC records.
3. Remain competent and current through self-directed professional reading, developing professional contacts with colleagues, and attending professional development courses and attending training.

Founded in 1977 by Marcia Tucker as an alternative museum site, the New Museum has been an important platform for emerging theories, cultural debate, and early exposure and scholarly treatment for important yet under recognized figures in contemporary art over the last 34 years. Our acclaimed solo exhibitions and landmark group shows define key moments in contemporary art history, the evolution of contemporary art institutions, and reflect the global nature of art today.
Unlike most museum digital archives whose purpose is primarily focused on object collections, the New Museum’s Digital Archive is a groundbreaking project to archive the programmatic history of an institution – what an art museum did, not what it owns. Over the past 5 years the museum has been developing a digital archive of the programmatic activity of the institution –exhibitions, public programs, performances and publications encompassing its 34 year history. The digital archive currently contains over 7000 images and documents, 200 audio recordings, 60 videos, 45 publications and over 4000 artists, curators and authors associated with New Museum. Phase I of the Archive has accomplished the following. 1) Established infrastructure and meta-data structures, 2) Digitized and imported primary materials 3) Launched public website and internal interface. The archive was built and developed in Collective Access software, an open source code and database system and uses modified Dublin-core metadata standards.
RESPONSIBILITIES
- Preserve the New Museum’s history that would otherwise be lost or inaccessible by organizing and cataloging our current physical and digital assets;
- Research and digitize materials, manage the selection of the appropriate formats, and ensure that all items are properly encoded within the archive;
- Contribute to the development, digitization and implementation of new digital archive areas not in Phase I including, institutional history, building architecture, and educational materials, including curriculum and teaching guides;
- Continue to research and import comprehensive audio, visual, and textual digital materials on the Museum’s exhibitions, performances, publications and public programs of the past 34 years according to a prioritized matrix of assets. Phase I includes approximately 40% of the possible assets for the archive and additional materials are to enrich and amplify existing asset categories;
- Organize, catalogue and classify existing physical and digital materials to be used internally and externally;
- Create procedures, train staff, and establish a sustainable work flow for the maintenance of the digital archive into the future;
- Establish and manage an archive internship program working with local university undergraduate and graduate programs. Supervising in-house digitization process, data entry and application of criteria;
- Ensure the Archive is widely disseminated to the public—universities, libraries, archivists, scholars and museum professionals by establishing digital links and participating in professional forums, panels and discussions.
GENERAL QUALIFICATIONS
Candidates must have Master’s degree in Library and Information Science or equivalent. Candidates must have 2 to 5 years experience in the digital archive field. In addition to technical skills below, applicants must possess excellent written and verbal skills and ability to provide leadership within a collaborative environment. Knowledge of contemporary art history and previous work experience within museum or cultural non-profit art environment preferred.
TECHNICAL QUALIFICATIONS
Thorough knowledge, aptitude and experience with database systems commonly employed for digital archives. Working knowledge of Collective Access in particular extremely helpful.
Knowledge of software programs such as Adobe Photoshop, Final Cut Pro video editing beneficial.
Programming knowledge in PHP a plus.
